Key Requisition Procedure
- Discuss with your advisor what buildings and rooms you will need access to. Note that university buildings are locked at night and on weekends; thus, if you need access to a room in the evening or on weekends, you also need access to the building itself.
- Your advisor can email us what buildings and rooms they want you to have card or key access to, or they can wait until we contact them for approval.
- If your lab/office has keypad access, please contact your faculty advisor or lab manager for a code to gain access.
- For doors with physical keys or UCard access, fill out the key request form below.
- If (1) your request includes physical keys, (2) you are a student or visitor (visiting scholar, etc.), and (3) this is the first time you have requested keys, then pay the one-time $20 key deposit. A deposit is not required for buildings and rooms with UCard access or keypad access. Ask at the department office if you aren’t sure whether you are required to pay a deposit.
- If we have not already received an approval from your advisor, the MSE Office will contact the appropriate faculty member or lab manager regarding permission for you to gain access to the desired building, lab and/or office.
- Once permission is obtained by the MSE Office, the office will request keys or grant card access and will email you notifying you of it.
- Please allow 10-14 business days for keys (more at the beginning of Fall Semester) and 1-2 business days for UCard access to be processed.
- You will be notified via email once keys are ready to be picked in the MSE Office (304 CME).
Deposits
All students and visitors are required to pay a key deposit prior to keys being issued the first time. If you aren’t sure whether you fall into either of these categories, ask at the department office. Keys will be requested but will not be issued to you until the deposit is paid.
This deposit is refundable when ALL issued keys are returned upon graduation or end of need. A new $20 deposit will be required to replace lost keys — the previous deposit will be forfeited to cover the cost of replacement keys. Please take note that deposits cannot be transferred between people.
Deposit Return
To have your deposit returned you will need to return ALL the keys issued to you to Kay in the MSE Office (304 CME) upon graduation or end of need.
- Please allow up to a month for refunds of deposits paid via UMarket (online by credit card). Refund will probably be by check.
- Deposits paid via the Cashier’s Office, prior to the MSE & MET E merger, will require a voucher from the MSE Administration Office you will need to present to the Cashier’s Office for a refund.
- Deposits paid via cash to the MSE Office, prior to the MSE & MET E merger, are available upon return of keys.
There may be a few differing policies and procedures because building operations are under different colleges. We understand there might be some confusion so please don’t hesitate to contact Kay with your questions.
