Key Requisition Procedure
- Discuss with your advisor what buildings and rooms you will need access to.
- It is a violation of university policy to use keys issued to someone else or to give keys issued to you to anyone besides the issuing office. If someone is turning in keys that you need, the keys must be turned in to the department office before being formally transferred to you.
- Note that university buildings are locked at night and on weekends; thus, if you need access to a room in the evening or on weekends, you also need access to the building itself and should request the entrance. Many buildings have card locks.
- If your lab/office has keypad access, please contact your faculty advisor or lab manager for a code to gain access.
- If you require access to the Crus Center (WBB 208 & 213) or to the Maker Space (WBB 212), contact the appropriate lab manager. Training on the particular equipment you will be using is required.
- For doors with physical keys or for UCard access, fill out the key request form below.
- Pay the one-time $20 key deposit if required; see “Deposits”, below, and “Pay Key Deposit” button, right.
- The MSE Office will contact the appropriate faculty member or lab manager for their approval for you to gain access to the desired building, lab and/or office.
- Once the office has obtained approval, the office will request keys or grant card access and will email you notifying you of it.
- Please allow 10-14 business days for keys (longer at the beginning of Fall Semester) and 1-2 business days for UCard access to be processed.
- You will be notified via email once keys are ready to be picked in the MSE Office (304 CME).
Deposits
Payment. If
- your request includes physical keys,
- you are a student or visitor (intern, visiting scholar, etc.), and
- you have not already paid a key deposit,
you are required to pay a one-time $20 key deposit prior to keys being issued the first time. We receive an email confirmation when it is paid. If a key deposit is required, your keys will not be issued until we receive the confirmation.
A deposit is not required for UCard access or keypad access, only for physical keys. Only a single deposit is required; once paid, there is no additional deposit for additional keys (with the exception of replacements for lost keys). If you aren’t sure, ask at the department office whether you should pay a deposit or whether you have already paid one.
If keys are lost, a new $20 deposit will be required to replace them, and the previous deposit will be forfeit.
Please note that deposits cannot be transferred between people. They can only be refunded to the person who paid the deposit.
Refund. This deposit is refundable when ALL issued keys are returned upon graduation or end of need.
- To have your deposit returned, you will need to return ALL the keys issued to you, to Joy (318 CME).
- Email us your forwarding address.
- Please allow up to a month for refunds of deposits paid online by credit card). Refund may be by check or direct deposit if you have that set up.
- For deposits paid as cash or through the Cashier’s Office, talk to the department office staff.
There may be a few differing policies and procedures because building operations are under different colleges. Please don’t hesitate to contact Joy with your questions.
Returning Keys
When you no longer need your keys, upon graduation, termination of employment, or change of advisor, turn them in directly to the department office. Do not turn them in to your advisor or give them to someone else to use.
If someone else will need the same keys, notify the department office of this when returning them, and the keys can be held for transfer, or bring that person along when you turn in the keys. Do not give the keys directly to another person; they must be officially transferred. Deposits cannot be transferred; you will forfeit your deposit if you don’t return the keys to the office.
Key and Card Access Request

If given access to university buildings and labs, you are agreeing to the following:
- You will not lend your keys or give out access codes to other students, researchers, or community members.
- You will not access buildings and/or labs outside of the guidelines issued by your supervisor/advisor/PI and/or college administration.
- You will not use your keys, access codes, or card access to allow access by any unauthorized person to university buildings, labs, or offices.
- You will return building and lab keys to the MSE office (304 MSE) at the end of your employment or tenure as a student/researcher within the department.
- Failure to adhere to these guidelines may result in the loss of access to department and university buildings, labs, and/or offices.
